Our company has a 3 user Desktop Pro license. Yes I know we need upgrade, but this question applies to any desktop version in general moving forward. We have about 7 company files that are hosted on a separate pc. If they remember to enable multi-user mode, all three can access the same company file simultaneously, but usually that is not needed or a concern. The qbooks support agent made it sound as if I could install qbooks on as many pc’s as we wanted, but only 3 could use it simultaneously no matter what company file was being accessed.

After looking through the software license agreement and another contradicting community post, I am left doubtful and confused as to whether we should use this 4th install. I doubt all four pc’s will ever be using qbooks at the same time, but still it’s installed on four different pc’s for four different users. Once again, I realize we need to update, but this is to get us by in the time being.

I don’t want to get our company in trouble. Clarification would be much appreciated. Go to Solution. Welcome to QuickBooks Community. I’ll be sharing extra information and clarification on how multi-user mode and user license work in QuickBooks. Then, ensure that your company file is hosted on a separate computer without any problems. The user license that you purchased depends on the version of QuickBooks that you are using.

QuickBooks Desktop Premier allows up to 5 users and QuickBooks Desktop Pro allows up to 3 users to work on a company file at the same time. You can continue to install the QBDT Pro version in the fourth station, but it is not included in the multi-user mode and can only be used by three people at the same time.

However, a higher version such as QuickBooks Desktop Enterprise Solutions can have up to 30 users working on a company file at the same time. That being said, you can install the product to add a fourth user to work efficiently with your company file. Welcome back to the Community, tron I appreciate you sharing details of your concern as well as summarizing your QuickBooks set up.

I’d be happy to give clarifications for this. For the QuickBooks Desktop QBDT set up, yes, it’s correct that when accessing the program with 3 user license all the 3 users can work in the same company file at a time. It’s also correct that the four users can be in a different company file at the same time. For your second question, yes, you can purchase QBDT Pro with one user license but you can only install it on up to 2 computers.

To work with your company file, you’ll have to create a backup from one and restore the file to the second. Once done working, create a backup again, restore to the first, and vice versa. For reference in moving your file to other computer, feel free to visit this article: Move your company files to another computer.

I’ll circle back to lend a hand. Have a good one and keep safe. If the 4th user will run QB as a stand-alone unit, you can use the same license. Otherwise, you should purchase a new license of QBD Premier for 4 or 5 users.

You can still purchase the one time license for QBD if required. If you prefer to use QBD Premier, you should purchase the license within this month to get a lower price then QBD next month.

Also, looking forward for when we do upgrade hopefully soon , if we are not concerned about users being able to access the same company file at the same time, could we in theory purchase 1 user license of QBPro and still install on 4 pc’s or even more? Because they will more than likely be accessing different company files out of the 7 we have.

Sorry to be a pain, just making sure I’m being clear so I have specifics for management.
