Keep the role as Basic user, and then select Save. QuickBooks will transmit an email to the User to finalize their new permission status. When the User accepts the email invite, they will be required to either enter their Intuit account information or create a new Intuit account associated with the company file, once they do so they will have the ability to manage receipts via the method s you have authorized. Choose Continue. Add a Name and Memo to your receipt capture.
Then tap Upload. Tap the Camera icon to take a picture of the receipt or tap the Photos icon to upload your receipt. If needed, you can crop and rotate the photo. Sign-in to your Intuit Account and select the Company to upload receipts to, then tap Continue. You will normally only need to do this once unless you have multiple company files that you need to upload receipts to. Access the feature from the QuickBooks menu by selecting Vendors , and then choosing Receipt Management.
Processing can take up to 15 minutes. The more receipts you actually process the faster receipt processing should occur over time as the AI-based machine learning engine identifies patterns associated with your receipt data. I actually found that receipt processing didn’t take nearly the 15 minutes, especially from the mobile App.
Click on the Refresh icon to get the most current extracted receipt data. Below you will see the newly processed receipt is highlighted in a ‘red box’ solely for purposes of this article.
Examine the data for matched transactions from within your QuickBooks Company file, this data could have been manually posted, or could have been posted via Bank Feeds.

You can request that data be deleted. Very clunky. Parts are fast enough, parts are very very slow. It has two functions: warehouse and receipts. I am using the receipts part of the app and service. Not too hard to use, just has long pauses between screens sometimes that make it completely unrealible and not worth it.
If I have snapped a picture and I am waiting on the app to spin and upload – can’t switch to another app to do anything while I wait. Can’t even let the screen lock on the phone. If you switch or let screen lock – it delete your receipt and you have to start again. For that reason and a lot more I don’t find any value in the app. Overall not worth the time to install nor worth the time to work with it. There are no help guides in the app or via QB to help navigate simple steps in the app.

I then when into my photos app and looked for apps that request access. QuickBooks Desktop was not listed. It appears QuickBooks Desktop is not ask for access nor provides a way to allow access. Once complete, check the downloaded file in your Downloads folder. You can now transfer the receipt to your thumb drive. That should do it!
This should get you going in keeping a back-up copy of your scanned receipts. I have no sales, no invoices. I have scanned all my receipts into QB mobile and identified them in QB, but now I need to go back and review all of the. How do I see them? I have scanned all of our receipts expenses. How can I access the scans? You can review the receipts in the Receipt tab. For the detailed steps, you can refer to this article: Manage your receipts in the Receipts tab.
